Bespoke Modular Order Processing System
VarSOP runs in much the same way that an Enterprise Resource Planning (ERP) system would, allowing an organisation to use a system of modules to manage the day-to-day business. Unlike some systems you need only purchase what you want – and expand in the future if you wish to do so. The aim is for you to be able to automate your back office functions through a series of modules.
We are firm believers in ‘not re-inventing the wheel’ – so rather than write comprehensive Debtor and Creditor Ledger software we ‘dynamically’ link all your Sales and Purchase Order processing to ‘off the shelf’ SAGE Accounts packages. If you already have a SAGE package we can ‘seamlessly’ add our product to the ‘front-end’ giving you almost unlimited control.
Modules available include:
- Sales Quotations - Raise professional quotes effortlessly to potential new clients. If the quotation is successful, convert the quote into an order with the click of a button.
- Sales Orders – with a series of easy to follow buttons, transition your order through allocation, picking, packing and despatch of stock – with all stages providing documentation where necessary.
- Sales Invoicing – Having successfully entered (or converted) your order (quote) the process neatly moves through Despatch and Invoice preparing the associated paperwork- ready for you to print or email. You can easily make any final amendments before posting the results directly into SAGE Accounts
- Purchase Orders – Generate comprehensive purchase orders through purchase order processing, allowing you to order, receive, reject, forward and match the invoice.
- Stock Management Control – Fully comprehensive stock management system with multiple levels of detail to ensure powerful drill down reporting. Control product groups/categories, update supplier lists, view recent activity, create re-order levels and so much more…
- Management Reporting – Extensive database of pre-set management reports providing high level summaries, or detailed breakdowns. *If you think you aren’t ‘normal’ and need specifically designed report we will do this for you but they will be charged separately)
- Customer & Supplier Databases – Manage your customer and supplier database from easy to navigate menus. Apply individual pricelists to VIPs to make the SOP process that bit more automated. Runs queries, check activity, create rules and much more…
- Projects – Easily generate input screens from XML templates and create quotations and costings based on the templates. The quotations can be modified to suit better margins or to win new jobs. As with normal quotations, they can be converted at the touch of a button into an order.
- Warranty – Create warranty product items, from templates or individually from product creation or at Sales Order input. Theses can then be tracked both for returns and for servicing through the uniquely generated serial number.
- Document Mailer – Optional Spindle document automation facility to electronically distribute all of your essential files. Should e-mail not always be the correct option, simply select fax/print to finish the task.
- Returns Management – Manage both supplier and customer returns through this module. Returns Management will track customer returns generating goods returns notes and returning the products back into stock where needed. It also will create a supplier returns paper trail to ensure you’re always up to date will faulty or wrongly delivered products.
- Warehouse Management – With the ability to add multiple locations, you can manage stock in all locations, at all times.
- Website Management – Use VarSOP’s website interface to upload products to your custom or standard online shop. A unique API is also supplied to synchronise online inventory with VarSOP’s back office system.
- User Management – Administrators can manage user access rights to ensure that the right people have access to what they need, removing any unnecessary clutter from their workspace.
VarSOP can be installed locally, or via our cloud servers allowing you to login from anywhere in the world.
